What’s new in ShareFile: December 2024

What a year it’s been for ShareFile! 2024 has been packed with innovation, and we’re thrilled to wrap it up with a bang as we head into 2025.

We’re rounding out the year with a flurry of activity as we introduce new features and functionality to help supercharge your efficiency, elevate the client experience, and keep your data secure and your operations compliant.

Feature:Enhancements to the Income Tax Return solution

What it does: The Income Tax Return solution streamlines the entire accounting client engagement process, from onboarding clients to collecting documents to signing IRS Form 8879. The solution’s built-in automation is ready to use out of the box and can save your firm time on routine but required tasks, helping you keep engagements moving forward with unified workflows that minimize client touchpoints.

Benefits:

• Accelerate tax preparation: Pre-built templates support individual and (now!) business tax preparation — IRS Forms 1040, 1065, 1120-S, 1120-C, and 990.
• Made to fit your firm: Customize engagement templates for document request lists and information request forms to speed up work and enable standardization.
• Move client engagement files to a folder: Move all requested clients files from the engagement to a specific ShareFile folder with a few simple clicks.
• Import files easily: Transfer files easily between ShareFile and accounting software such as CCH, Drake, Lacerte, ProSeries, UltraTax, and others.

Feature:Client Billing solution (beta)

What it does: The new Client Billing solution enables customers to send payment requests through ShareFile and integrates with Stripe and QuickBooks payments for flexibility in payment processing. You can also create, track, and management invoices within ShareFile and monitor payment status in real time, so you can see at any moment what you've received, which payments are pending, and which have failed to process.

Benefits:

• Increased efficiency: Automate payment status updates, reducing manual tasks and administrative overhead, and create and manage payment requests directly within ShareFile, streamlining the payment process and saving time.
• Improved client experience: Access payment requests through the existing client portal, providing a secure and familiar interface for clients to make payments. Clients can easily see the status of their payments, enhancing their trust and experience.

Feature:ShareFile for Outlook Online

What it does: The ShareFile for Outlook add-in now elevates email security and simplifies file sharing workflows. With the newly introduced encrypted email feature, you can seamlessly protect sensitive email content and attachments with a single click. Additionally, the enhanced attachment workflow lets you convert email attachments into secure ShareFile links effortlessly for greater data security without disrupting your flow.

  • Protect sensitive information: Encrypt and safeguard your confidential email communications – both email content and attachments.
  • Streamline secure communication: Execute secure exchanges quickly and directly within Outlook with a single click without needing external tools.
• Convert attachments to secure links:
  • Simplify secure sharing: Easily protect your files by converting email attachments into secure ShareFile links with just one click.
  • Streamline workflows: Drag and drop files/attachments into your email body, then convert them effortlessly — keeping your focus on productivity without sacrificing security.

Feature:ShareFile social sign-in with Google authentication

What it does: We have expanded authentication options in ShareFile, and clients can now use their Google credentials to log into ShareFile

• Simplifies the log-in experience for clients to make accessing ShareFile seamless
• Eliminates the need to create and manage new credentials for their portal

Feature: New project templates for HR onboarding and safety incident management

What it does: The HR Onboarding template helps to streamline employee onboarding and ensure key information is collected and planned for new employees. The Safety Incident Management template streamlines the submission, tracking, and fulfillment of critical health and safety tasks. This template creates a structured workflow of tasks in ShareFile that helps to ensure compliance with corporate, governance and regulatory requirements.

Benefits:

• Greater visibility into onboarding: Visualize key onboarding action items with the HR Onboarding template, including information requests to collect key personal information, tasks to help structure internal onboarding plans, and document requests to ensure documents and contracts are signed.
• Robust tracking and reporting: Employees can track and report progress on safety incidents with the Safety Incident Management template, which facilitates seamless communication and oversight for employees and managers, enhancing overall productivity and safety compliance.

Feature: Data table rich text editor on multiline text fields

What it does: The rich text editor enables users to format the text of their information request forms in the way they need. They can use bold, italics, underline, and strikethrough to highlight important information. Bullet points and numbers lists enable clearer structuring of information. Refer to external resources easily with hyperlinks, and use headings and subheadings to improve the reading experience.

Benefits:

• Improve readability: Organize and present text clearly and professionally, making it easier for the reader to consume the information.
• Save time: With the rich text editor, there is no need to switch between tools to format or organize text.

Feature: Project template editing

What it does: Users can now modify their custom Project Templates and out-of-the-box Project Templates to fit their specific business processes.

• Faster deployments: Project templates enable organizations to deploy business processes faster, helping to keep work moving forward.
