ShareFile admins play a critical role in an organization and are essential to helping employees get work done, be productive, and collaborate effectively and securely with clients. A skilled admin can help ensure employees can work the way they need to and clients can get the experience they want.
From generating reports to keeping an eye on usage and granting granular permissions and privileges, a ShareFile admin is like a train engineer, making sure everything is running efficiently and securely so organizations can reach their destination — an exceptional client and employee experience.
Here are 10 tips to help admins to get the most out of ShareFile:
- Admins can easily reassign the owner of their organization’s account. This is helpful if the account owner is leaving the organization or if the admin just wants to pass ownership to someone else.
- It’s easy to gain insights into your account’s storage and usage. In simple dashboards, you can see how many licenses are allocated to your organization, how many licenses your organization is using, how much storage space is being used, and more.
- Your ShareFile account doesn’t have to look like out-of-the-box ShareFile. Admins can adjust the look and feel of the ShareFile account to match their organization’s branding, including adjusting colors, editing header options, choosing favorite icons, inserting their organization’s logo in email notifications, and more.
- You have complete control of ShareFile connectors, which allow employees access to files and folders stored on premises or on a cloud-based resource. Users can access files just like they would in ShareFile, even though they’re stored elsewhere.
- Need insights into usage on your organization’s accounts? You can run the reports you need, in 90-day increments, and you have access to historical reports so you can look at usage over time.
- Your organization’s branding goes beyond the look and feel of the pages your employees and clients access. With ShareFile, you can create custom subdomains so the URLs you use to interact with your stakeholders include your organization’s name, not just ShareFile’s.
- Everyone knows what happens if you enter the wrong passcode on an iPhone too many times. You get locked out. ShareFile does the same to help ensure only the right people have access to an organization’s files and folders. The default setting for ShareFile is five login attempts. After that, the user gets locked out for 300 minutes. Again, like with most things ShareFile, admins can adjust this to meet the needs of their organization.
- Admins can set up and manage super users, who have automatic access with full control (download, upload, delete, and share) to all new and existing folders within your ShareFile account and can manage all the account data.
