Vision-Driven Innovation
Michael, drawing on his corporate banking background, launched DTC to provide drug, alcohol and steroid testing background checks and other employment screening services for high-profile clients, including government organizations and major sports leagues. He aimed to build a B2B operation that would be highly automated, scalable and run efficiently with minimal staffing from anywhere in the world—even before remote work became the norm. But reaching that level of automation wasn’t without challenges. Early obstacles included complex workflows, large data volumes and fragmented systems that struggled to support nationwide logistics and compliance.

When the pandemic slowed down the business world, DTC included, Michael took the time to rethink the processes and workflows used to run the organization. To begin a path toward his vision, Michael and his senior sales manager, Jonathan Gentile, leaned on the Podio platform. They began programming, building apps and connecting key components. To get more assistance, they brought in an external developer to do more complicated work and grow the system. For Michael, as the system grew, so did his ambition. When he reached the limits of what he could do with his external developer, he got in touch with Rainer Grabowski, a Podio partner with extensive experience in complex workflows.
An Automated, Seamless Experience
Together, Michael’s team and Rainer built a fully integrated Podio workspace with over 60 interconnected apps to handle the end-to-end process.

Whether it is FedEx for automated shipping and tracking, the Department of Health for testing report updates or ShareFile software for secure file sharing and storage, the Podio platform can connect it all into a unified workflow. Meanwhile, Michael has hired an IT expert, Aramis Reynoso, who runs operations and DTC’s IT platform.

Through a lot of hard work, the results of their digital transformation have been staggering. Since 2020, DTC has grown almost 4x in volume, now handling 3,000-4,000 samples per month. Instead of needing hours of manual work to organize dispatch, DTC can now handle it in 10 minutes, 24/7. The Podio platform, combined with ShareFile tools, has completely transformed how Michael does business, which lets him spend more time on big picture goals like expansions and new projects.

What’s Next
For Michael and the DTC team, growth and innovation continue with few signs of slowing. An ongoing project aims to deliver a new client portal that can act as a one-stop shop for all clients, from appointment booking to specimen processing tracking, which will leverage Mini Apps via ProcFu. With the scalability of his digital infrastructure, Michael is working toward expanding into other services like occupational exams and fingerprinting. Lastly, he is planning to implement a broader e-signature workflow with ShareFile tools that will integrate into Podio and the Mini Apps in the future client portal. “We’re entering a new phase,” shared Michael. “Podio will run in the background while our team interacts with intuitive mini apps. The possibilities are endless.”
