Can you use email to send secure documents, like tax returns or medical records? At your own risk. At Citrix ShareFile, we don't think there's any reason these types of files should be floating around in the public domain. Why not just share the files with a secure link?
Secure Email for Sending Confidential Documents
We encourage all businesses to encrypt their email. In fact, it's one of the features we offer our clients. But is securing your email the same thing as securing the documents you attach to it? No.
If an encrypted email is intercepted by a third party, they won't be able to read the text of your message. But what if you've attached a spreadsheet with contact information about your employees? They can certainly see that, unless you've protected it separately.
And honestly, most people don't.
Best Ways to Protect Your Business
All kinds of confidential files with bank accounts, credit cards and Social Security numbers need to be shared during tax season. Do you really think hackers aren't scoping out your accountant's email network?
ShareFile lets you share documents without sending them out into the public domain. Some of our first customers were CPAs who wanted to do business digitally without jeopardizing their clients' private data.
Why send that information out into the public domain at all? Why not just share a link to the file? This leaves it in a secure environment and allows you to control permissions to view, edit, download and print.
Sharing a Secure Document
Once you've uploaded files to your ShareFile account, it doesn't take more than a right click to share it. You can generate a secure link to copy and paste at your discretion, or you can use our secure email. When you choose that option, a message template pops up. Simply enter the recipient's email address, add your message and click "Send." Simple as that.
What about receiving files? ShareFile customers can add an interface to our secure portal on their website. Then they provide their clients with access to upload files directly into a specific folder on the account.
We don't take security lightly. Our security protocols are compliant with HIPAA, FINRA and strict regulations for other industries. Here are some of our security measures:
- SSAE 16 audited data centers at multiple locations
- Disaster recovery centers in the U.S. and Europe
- AES 256-bit encryption and SSL/TLS protocols
- Download alerts and notifications
- Remote wipes for lost or stolen devices.
- Audit-worthy activity reports
Don't just send secure documents. Control how they're shared. With custom industry solutions, we can help you secure your business transactions.
