In 2007, I experienced one of those days where work hours were disproportionate to the number of tasks due. Frazzled, I shut down my office desktop and packed my briefcase with several file folders, all holding sensitive financial and healthcare client information. As I sat at my kitchen table that night filling out forms and double-checking contracts, I realized I left an important form in my desk. My office was already closed. I would have to rush the next morning to complete the paperwork and would not have the papers ready for signing at my 9am client meeting. With a sigh, I packed away the files and realized I wasn’t able to catch up or get ahead – I would have yet another day of lopsided task to time ratio. Weighing even heavier on my mind was how I had sensitive files under my responsibility that needed careful protection.
These days, the scenario above can be prevented. I simply login to my desktop remotely for files stored on my hard drive. For the sensitive information, I open and edit files from ShareFile, knowing the information is secure and encrypted in the cloud. After completing edits, I email the final contracts to clients for e-signature, meeting deadlines with time to spare and eliminating the need for a morning meeting.
In less than ten years, my workflows changed immeasurably. Inefficient days are slim to none as tasks and cloud collaboration save more time. I own responsibility of secure files with confidence rather than trepidation. Busy days don’t make barn burner emergencies and mistakes don’t create workflow bottlenecks.
My office is now wherever I need to it be.
