Citrix ShareFile has been serving small and medium businesses for more than eight years, and now that we are in the Citrix family, we are seeing increased interest in how important ShareFile is to the enterprise sector. With a growing customer base and lots of questions coming in, we launched the ShareFile Master Class in October 2012. Designed to educate potential customers interested in solving their file sharing problems, the class is an open forum for anyone interested in learning more about ShareFile Enterprise.

Guided by Enterprise Sales Specialist Sarah Kordulewski and Sales Engineer, Chris Anderson, the class starts off with background information on ShareFile and how the service fulfills the file transfer needs of enterprise customers. After a brief overview, Sarah moves into a demonstration of our most popular tools like the Outlook Plugin, ShareFile Sync and the mobile apps. For technical attendees, Chris jumps in throughout the presentation to discuss the architecture of the application in more detail. In addition, each class ends with a Q&A session open to all attendees and no question is off limits!

“It’s a great opportunity for companies to see a demonstration of the ShareFile Enterprise product while also getting a technical overview of the architecture,” says Sarah. “I love being able to have a virtual meeting where people all over the world can come and see the product as we update it and add new features. [The class] not only helps educate potential customers, it helps educate current Citrix employees, customers, and partners on the ShareFile product.”

Want to learn more about StorageZones? Interested in integrating ShareFile with Active Directory? Have some technical questions about how ShareFile works? Sign up for the ShareFile Master Class and get the answers to all of your questions. Click here to see upcoming classes.

With the explosion of smartphone and tablet use over the last 5 years, mobile applications that make their users’ lives easier and more convenient have proliferated. Apps help us in our personal lives as well as our professional ones. Here are some of the top applications that our users enjoy on a daily basis to make a more flexible, mobile work environment:

5. Twitter

The ever-expanding world of 140 characters or less has caught fire over the last several years. Twitter’s mobile application, which perfectly caters to the social media site’s attitude, has seen its popularity rise along with the original website.

This application allows users to not only quickly spit out tweets with their thumbs, but also track their timeline at a moment’s notice to keep up with their colleagues, sports teams or rock bands. This app has had a major hand in connecting individuals with each other and businesses with consumers

4. Evernote

Evernote is one of the leading mobile applications in notetaking, archiving and record keeping. This app allows its users to pen down notes on any topic or any idea and seamlessly sync their musings to their computer tablet, or any other device with the application installed.

Evernote allows users to keep themselves organized and their tasks prioritized which has helped to benefit them both professionally and in everyday personal life.

3. ShareFile Mobile

ShareFile’s very own mobile tools, whether for Android, iOS or other platforms, have given users the ability to take their entire data repository in their pocket wherever they go. ShareFile’s mobile tools provide a quick, intuitive way of accessing and managing your documents whenever you need them.

As well as reviewing your data, you can also manage user access to your files and send data out whenever you need to. It’s great in a pinch when you need to get that presentation to your client, but are nowhere near your computer.

2. Podio

Citrix’s recent acquisition, Podio<ins cite="mailto:Citrix%20Systems,%20Inc" datetime="2013-01-30T09:13">,</ins> brings group collaboration to any mobile platform for quick use. The Podio application allows work groups to establish a place to exchange thoughts and notes, update each other on a project’s progress, or brainstorm for their next project.

With nearly all the features of the web application integrated into the app, the mobile tool is all you need to get the full effect of all of Podio’s benefits!

1. GoToMeeting

With the introduction of GoToMeeting’s mobile application, Citrix’s mobile vision truly hits full force. This app gives you the ability to conduct and attend meetings, regardless of whether you are in front of your computer.

With the ability to view the full presentation of the meeting as well as attend the call, GoToMeeting allows users to fully participate in a conversation with their peers from wherever they may be, without missing a beat. The added ability to quickly schedule and create meetings further allows users to collaborate on the go.

Do you use any of these apps for work? Share your favorites with us.

Good news! Major updates have been released to the ShareFile app for iPhone, making it easier to securely access files, share content and collaborate from anywhere.

“ShareFile iOS applications have already seen major momentum with downloads more than doubling each quarter,” said Jesse Lipson, VP and GM, Data Sharing, Citrix. “At Citrix, we’re focused on empowering mobile workers, and today’s ShareFile app for iPhone release provides them with the latest in content sharing and security on any iPhone, including the soon-to-be-released iPhone 5.”

Check out what is new:

Unauthorized access alert: New feature that tracks files viewed in ShareFile for iPhone (and ShareFile for iPad) after a remote wipe is activated, even when the user is offline. The app generates a log, indicating whether files were viewed so that users can determine whether data was compromised – providing critical insight in the event of a lost or stolen device.

Intelligent device security policies: New “poison pill” option enables IT to set data expiration policies, plus multiple preferences settings allow IT to decide whether files can be opened in third-party applications or saved offline.

Enterprise Active Directory integration: ShareFile for iPad connects to Active Directory and SAML enterprise identities for a more seamless and secure user experience.

Improved auditing and reporting: Enhanced capabilities help IT to track and log user activity.

Offline access: Advanced options allow users to save files locally for offline access and editing.

Quickoffice integration: Integration with Quickoffice enables users to edit Microsoft Office documents and save them back to ShareFile.

Easy access to multiple accounts: Redesigned interface makes it simple to view multiple ShareFile accounts and folders, providing users with easy access to all of their data.

Take a sneak peek at screen shots of the updated app:

The Salinas Police Department Deputy Chief challenged his team to improve their process for submitting police reports. They were using cassette recorders with a standard tape, which proved to be difficult to manage. The department now uses ShareFile mobile apps to easily file reports from the field.

The company is required by its clients in government to provide weekly, text-based progress updates with pictures to reinforce the written statement. With the use of mobile devices including iPhones, iPads and Android OS phones, coupled with the ShareFile mobile apps, the process of gathering and sharing images is quick and efficient for the company.

The Salinas Police Department was challenged by their deputy chief to send police reports in a more efficient way. Prior to ShareFile, the department used cassette recorders with a standard tape, which proved to be difficult to manage. The department now uses ShareFile mobile apps to easily transfer the necessary documents right from the field.

We are excited to provide with you the mobile tools you need for business, and we continue to focus R&D resources on the mobile space. All ShareFile mobile applications are free to download for ShareFile customers.

Eric shared some insight with me on how his company uses ShareFile’a mobile apps to create an efficient day-to-day workflow.

Babington Technology, a manufacturer of military equipment, uses ShareFile mobile apps to streamline daily operations. The company is required by its clients in government to provide weekly, text-based progress updates with pictures to reinforce the written statement. With the use of mobile devices (several iPhones, four iPads and three Android OS phones), coupled with the ShareFile mobile apps, the process of gathering and sharing images is quick and efficient.

“The ease of use of the ShareFile apps makes adoption quick and easy. However, the government feedback is what has been amazing. Prior to ShareFile, sharing documentation with the different military branches was a painful, slow process. With the adoption of ShareFile, and the overwhelming positive feedback on the client end, this once miserable process now has an easy solution. ‘We’ll just put it on ShareFile’ has become a common statement in our production meetings, both for internal documents between our three offices and for client deliverables. The ShareFile experience has been a very positive one here at Babington Technology,” says Eric Robb, Sr. Project Engineer at Babington Technology.

Mobile integration allows the company to take more photos, adding to the value of documentation and progress reports. The written documents are typically uploaded through the ShareFile web interface and shared via the Outlook plugin. Each of these processes is easy to learn and consistent with users’ day-to-day workflow.

The benefits to tablets are endless but one common answer is mobility. Having a tablet means you can work from anywhere: the metro, home, in-flight, on vacation—you get the idea. But with people increasing the amount of time they work away from their desk, it’s important to make sure that the devices we are using are equipped with the right tools—in other words, Apps!

So what are the best apps for businesses? I’m recommending five categories of apps that everyone should have on their tablet. Take a look:

Social Media Apps: You can’t forget to keep up with your company’s social presence. Use these apps to keep your company’s name buzzing:

-Twitter: Find and follow friends, Tweet, Retweet, Favorite, exchange Direct messages with your followers, share photos, etc.

-LinkedIn: Get on-the-go access to your professional network with this app.

-WordPress: Write posts, upload photos, edit pages, and manage comments on your blog from your mobile device.

Word Processor Apps: A computer application used for the production of any sort of printable material. Examples include:

-QuickOffice Pro: Create, edit, access, and share your Microsoft® Office documents, spreadsheets, and presentations-anytime, anywhere

-iWorks: Create documents, spreadsheets, and presentations the Mac way. And it’s compatible with Microsoft Office®

CRM Apps: Manage your business and keep your customer database at your fingertips with these CRM apps:

-Salesforce.com: Get instance access to your Salesforce information on your device so you can sell on the go. Log calls, respond to leads, and access account information wherever you are.

-Contacts Journal: Keep track of your past conversations and future follow-ups to make managing your contacts a breeze.

-SugarCRM: Designed to help your business communicate with prospects, share sales information, close deals, and keep customers happy.

Business Communication Apps: It’s important to be able to stay in communication with your colleagues even outside of the office. Here’s a few great apps that will help facilitate that:

-Chatter: Get auto updates on the people, projects, and files that you care about most. Brought to you by Salesforce.com.

-Podio: An online work platform for collaboration and project management in one central place (recently acquired by Citrix).

Business Collaboration Apps: Use these apps to make sure your workflow doesn’t suffer away from the office:

-ShareFile: Get easy and secure access to all of your files and folders, anytime. We definitely recommend this app!

-GoToMeeting: Easy and effective web conferencing and online meetings. Work with anyone, anywhere!

-GoToMyPC: Remote access for your computer. Login and access your work computer from your mobile device.

Do you have any of these apps on your tablet? What other business apps are you using?

These new features make transferring files from your mobile device easier than ever. My personal favorite is the ability to upload files directly to my ShareFile account instantly. I wanted to share some pictures from our company party and I simply clicked “Send” within my Android phone and chose ShareFile. I then chose the folder that I wanted to send it to and uploaded. That was easy.

AKQURACY is a full-service, data-driven marketing communications agency. Utilizing its covertly obtained research, the agency develops top-notch strategies and creative for its clients, resulting in effective and impactful campaigns. Before the agency found ShareFile, it used email or an FTP client to exchange documents, which proved to be complicated and restrictive. The team needed a better, more streamlined approach to working with clients and vendors. Security was also a major issue, since the agency handles a lot of confidential information for clients.

Currently, the agency sends and receives a massive amount of data files and transfers extremely large creative files to its vendors. Scott Petinga, President of AKQURACY, says “Security is by far the biggest benefit of ShareFile. We work with a plethora of teams within any given client and not everyone needs the same level of access to project files. With ShareFile’s granular folder-level permissions we’re able to customize security settings, enabling specific users to have access to specific files. This keeps us compliant with legal regulations regarding the privacy and security of confidential information.” Scott explains that ShareFile is also much more streamlined because of power tools like Desktop Sync, Drive Mapping, Outlook Plug-in and mobile apps, which make workflow much faster and more efficient for employees working remotely.

Tracking and alerts are an easy way to make individuals involved with the file sharing process aware of new file uploads. The agency no longer has to send a separate email telling those individual users that files have been uploaded, and it saves the hassle of sending links back and forth. The agency also has a ShareFile log-in box at the top of their website, which makes it easy for clients to access their files and information securely.

Scott says that ShareFile is very intuitive; making it incredibly easy for everyone on a project to access and manage files via email, mobile and/or web. In addition the security features have improved the agency’s compliance with legal regulations surrounding the privacy and security of information. “We didn’t care for the level of security (or lack thereof) behind our prior methods of data sharing. We also had size limitations, connectivity issues and a general sense of unreliability with other products. With ShareFile, it’s easy for any member of our team to gain access and manage content. This saves us time, which translates directly to increased margin,” says Scott.

Apple’s iPad features a new way for business professionals to work. With apps like Mail, Calendar, Notes, and Safari, it’s easy to leave your laptop at home and work while on the move. The iPad makes it easy to collaborate with colleagues remotely and access important business documents wherever you may be. Not only does the iPad work as a great document reader, but it is also a useful tool for filling out and even signing documents.

Web conferencing is also made easy with the iPad. With its front and rear facing cameras, users can easily connect with business colleagues while traveling. Apps like WebEx and GoToMeeting are easy-to-use and make web meetings painless for business users.

Another cool way that the iPad can be used in your business is conducting presentations and viewing charts. The iPad can be especially helpful when hooked directly to a TV or large projector for a business presentation. During the presentation process, there is generally a need to exchange large documents that may be too large or confidential to send via email. That’s where the ShareFile app for iPad comes into play. The iPad app is optimized for a tablet screen and processing power and users can easily browse files and share them via ShareFile without downloading.

According to a published report from comScore, one in three U.S. mobile phones is a smartphone. Have you joined the smartphone world? I held out as long as I could (refusing to join the rest of the world and enjoying my less than 24/7 presence from social networking sites) but broke down and got an Android operating device a few months ago. Since that day, I have not been without my smartphone. I’m never Twitterless and I’m constantly checking the latest news headlines and Facebook updates. I’m addicted. Apparently the rest of the world is too– 76.8 million Americans out of 234 million American mobile users have smartphones.

My first thought was, “I bet Apple is the leader.” To my surprise, I was wrong! Actually Google Android led the platform group among smartphone subscribers, with over 38.1% of U.S. smartphone subscribers. Apple was, however, in the #2 spot, with 26.6% of the market. RIM was in the third position, with Microsoft and Palm following, respectively. Another surprising statistic to me was that subscribers are primarily using their phones to text (69.5% of all mobile subscribers) – I would have guessed internet browsing.

Since Americans are constantly connected and rarely with their smartphone out of arm’s reach, the question then arises, Will smartphone phones and tablet devices replace computers?

Be sure to download one of our mobile apps here.

Ever heard of BYOD (Bring Your Own Device)? Interesting concept in today’s fast paced environment. Mobile solutions like smartphones and tablets are quickly moving into the workplace. Such trends as BYOD are becoming more prominent in work policies. As a society, we seek to gather the most amount of information in the shortest amount of time. Smartphones and tablets allow us to do just that. Simply take a look around your office, the mall, or even the doctor’s office and a majority of the crowd is soaking up all the latest information via social media from their device of choice. Such devices are also convenient when traveling on business trips like conferences and other events- carrying an iPad is easier than a notebook.

The revolution of smartphones within the past 3 years has changed the way workers operate. According to a recent article in Business Insider, about 75% of enterprises now have “bring your own device” policies currently in place. The article goes on to outline how BYOD policies increase employee productivity and lower support costs. I tend to disagree. Yes, maybe employees will be constantly connected, even outside of the office. However, I think the ability to use your iPad or other tablets as a substitute for a computer given by the company may in fact lower productivity. This is based solely on opinion, but it seems as if employees will spend more time playing games on their device, engaging in social media platforms like Facebook and Twitter, or managing their personal apps- all while on the clock. Of course this could still be the case with laptops or desktop computers if unmonitored by management.

I don’t disagree with this policy- I just think there are a few kinks that need to be eliminated if such workplace policies are going to be implemented. Employees should have to sign an agreement that their devices may be wiped for security reasons and be required to turn over in the event of litigation. Another potential question arises with BYOD- will companies reimburse for employee’s wireless plans and for the purchase of work related apps? This would sure eliminate the amount of expense reports floating around!

Today has been declared World Back-Up Day to serve as a reminder to back up your files and to bring awareness to the importance of file storage. The concept is interesting- back up your files today, “Don’t be an April Fool.” Obviously, you should think more often about backing up and storing your important data but take this reminder to analyze how you are currently backing up your data.

With traditional storage methods, users worry about running out of space on flash drives and CDs or worry about keeping up with a physical device. However, with ShareFile you can upload files directly to your account, which provides an easy and secure online storage solution, customized for almost any small to medium sized business. All data is transmitted and stored with 128-bit SSL encryption, stored in a SAS 70 audited data center, and is audited regularly by a third-party. Users can store files on their account for a specified period of time and can access this information from virtually anywhere, even on-the-go through ShareFile’s mobile app for Android.

If you’re like most of us here at ShareFile, you probably love your smartphone. Of course, it’s awesome to be able to check critical scores for your favorite team and update others of your current status through every social media application imaginable while on the go. But we strongly believe that power of mobile applications can be of great use to businesses and for organizations as well. Within our own offices, we use mobile technology daily to help our support team monitor important issues after normal office hours and to receive constant updates about the status of our system.

From your requests, we have learned that ShareFile account users are a mobile-savvy group as well, and we are excited to introduce a new ShareFile mobile application to make using your ShareFile account from your phone or tablet easier and more streamlined than ever before. If you’ve ever received an email notification that an important new file was available on your account while you were away from your computer, the mobile app is for you. With ShareFile on your phone, you can download and review the file immediately. If a coworker or client needs to access files while you’re out of the office, you can send them a link to the file, and the app also allows you to send out emails requesting files from others.

Our new mobile app features cross-platform compatibility to serve as many users as possible. We see this as a first of many exciting mobile updates to roll out this year, including increased functionality on the current application and new versions of the application designed specifically for iOS and Android users.
