Administrative Professionals’ Day: An interview with Shannon Bass

I recently sat down with Shannon Bass, operations coordinator at Citrix ShareFile.  In recognition of Administrative Professionals’ Day, I interviewed Shannon to get a glimpse into her daily workflow.

Tell me a little bit more about your day-to-day activities as Citrix ShareFile’s main administrative professional.

Here at Citrix ShareFile, the daily duties of the facilities and operations team can be very unpredictable, yet exciting! As operations coordinator, I personally strive to make the best possible first impression on our guests, visitors, vendors and new employees. To do this, some of my tasks include getting visitors checked in, assisting new and existing employees with general office needs, conference room scheduling, calendar management, and maintaining daily office functions. I focus on treating every person that I come in contact with as an individual and doing whatever I can to make their day and experience here at Citrix ShareFile a pleasant one.

How do you ensure that things are running smoothly in the office?

As we continue to grow, the needs of our Internal Customers (our co-workers) grow as well. Ensuring efficient and consistent workflow requires multi-tasking abilities and organizational skills. Communicating via email as well as verbally is a crucial part of keeping the office running smoothly. I use MS Outlook to organize my incoming emails, appointments and tasks. This helps me prioritize various daily duties and responsibilities.

What do you enjoy most about your job?

One of the things that I enjoy most about my position as operations coordinator is it’s unique within the company. Currently, I am the only one who fills this role within our Raleigh office. This gives me the advantage of creating a model, and it gives me the ability to use my prior experience to suggest and implement procedures that would best benefit my department and the company as a whole. Additionally, working within the operations department usually generates initial contact with new employees and existing employees, giving me the opportunity to meet and get to know employees from all departments which is fantastic!

 Share one fun fact about yourself with our readers.

One of my hobbies outside of work is coordinating, organizing and directing events for family and friends, which directly aligns with the nature of my position here. It is my nature to help people, so the same passion that I give to my hobby outside of work is the same passion that I give here at work.
