With ShareFile Virtual Data Rooms, Your Data Is Protected

ShareFile's servers are located in facilities that are managed by Hosted Solutions and Amazon, trusted providers of secure and reliable data centers. All of our primary data centers have received third-party SAS 70 Type II certifications.

The data centers feature security measures, including:

• Ballistic-proof exterior, including doors & windows
• Fingerprint scanners and ID checking for all entry and exit of the facility
• Double Man Traps force double verification and provides extra secure data center entry
• Redundant off-site monitoring of all security systems
• Locked Cabinets and Cages

Our privately managed server farm is equipped with the latest firewalls and computer internet security updates to help keep the data in your virtual data room completely safe. All of ShareFile's servers are automatically updated with the latest vendor-supplied security patches for the operating system and other applications.

All communications between ShareFile and the end user are encrypted using the Secure Socket Layer (SSL). This is the same industry-standard protocol used by banks and popular e-commerce services such as Amazon.com for secure communication over the internet. Files at rest are stored with 128-bit encryption for all Virtual Data Room accounts.

When ShareFile users create folders in the system, only the specified users that are designated by owner of the folder are able to access the contents of those folders. Users who do not have access to the folder will not even see the folder in their view of the system.

Each user of the system has a unique login and password. All user passwords are hashed in the ShareFile database, meaning that not even the ShareFile support personnel have the ability to view or in any way determine a user's password.

Audit trails are maintained for all system activity, including logins, file uploads, file downloads, and file views. Each event is timestamped and associated with the user who performed the action and the IP address of that user. These audit trails are accessible at all times to account holders via our administrative reporting interface.

ShareFile's computer network security is subject to daily security audits by a third-party security monitoring firm. This helps us stay one step ahead of the latest security threats.

Data Backup and Server Uptime

ShareFile's service was built with reliability and scalability in mind. We continue to exceed our goal of 99.9% uptime, including any scheduled server maintenance. Our primary data center has a hurricane-rated roof, with multiple redundant power sources including a diesel generator with 7 days worth of diesel fuel in case of a power outage.

Client files are backed up to ShareFile's disaster recovery data center on a continuous basis. In the event of a natural disaster or catastrophic hardware failure at a primary data center, resources at the disaster recovery data center can be brought online to minimize disruptions to the service.

To protect against accidental deletion of files, ShareFile keeps copies of all deleted files for 7 days before permanently purging the files from storage. This helps protect users from file loss do to user error. If a file is deleted in error, it can be restored through ShareFile's Recycle Bin feature.
